Programming Assets for Cyclical visits

If your system has been configured with ProgrammeSMART and you see the Cyclical work option in Work planning in the main menu, so our other article on programming assets in Programme Smart.

Programming cyclical work on the classic KaarbonTech system is simply a case of setting the correct Maintained by, Cycle and Due date values on the assets in question. This can be done using  state reports and the bulk edit report action.

The classic KaarbonTech system uses the due date and cycle to determine which assets light on up on the tablet to alert the crews that they are due for a clean. The process is as follows:

  1. The app will check that the asset is maintained by the Local Authority. If this is true then:
  2. The app will check that the asset has a valid cycle. This may be annual, biennial etc. Note that Archived assets have an Ad-Hoc cycle, which is not valid for cyclical cleans. If this is true, then:
  3. The app will compare the current date to the cyclical due date of the asset. If this is the current date, or in the past, then the asset is lit up as due for a clean. If the due date is in the future, it is not.

Therefore, programming the assets for cyclical cleans is a matter of setting the appropriate cycle, and then the date that the asset is required to light up for a clean.

Identify the assets to be programmed

The first step is to use the State Report to identify the assets you wish to edit and set up for a cyclical clean. This can be done by road names, areas, asset type, or any other filterable attribute. For example, if you wish to programme all the gullies in a single ward to be due in April, on an annual cycle, you could do the following:

Click Reports in the main menu.

Click State Report.

Using the filters, select all gullies in the desired ward and run the state report. See the article on Running a state report for more details.

Once the report has run, click the Edit assets button in the Report action buttons section.

Using the options in the Bulk edit selected assets screen, you can edit both the cycle and due date of all the assets you have selected using the filters.

Set the Cycle as required. The available options will depend on your system configuration.

Set the due date as required.

Click Apply edits and save.

When prompted, click Yes.

The assets have been programmed for cyclical work. You can repeat this process for all assets that need to be programmed. While you can programme an entire network in this manner, it can take several reports to do so.

You can of course use other filters to split your assets by road classification, speed limit or any other value you choose.
